Our client is currently seeking a Payroll Manager at our headquarters in Indianapolis, IN. This role with the Human Resources team is responsible for maintaining the integrity and accuracy of the payroll process and administration of company sponsored benefits. This role will process and manage the organization’s payroll functions for salaried employees and assist with hourly payroll in multiple states, ensuring pay is processed on time, accurately, in compliance with government regulations as well as ownership of administrative tasks in such areas as employee records, benefits, employment, compensation and reporting. This role will report directly to the Human Resources Director.

RESPONSIBILITIES:

• Processes and manages semi-monthly payroll for salaried employees and assists with weekly hourly payroll, including but not limited to the processing of data, coordinating changes or updates, applicable payroll deductions, enters new hire information, processes terminations, applicable changes to payroll or overall insurance benefits
• Processes applicable court ordered documents such as garnishments, child support orders, liens or levies in accordance with federal, state and local regulations
• Maintains all employee records within in ADP, ensures process and data accuracy, ensures reporting structures, employee data is current and accurate, ensures employee confidentiality, ensures compliance with records retention process and adherence to any and all federal and state regulations
• Ensures compliance and administration of various employee benefit plans; including, but not limited to health, dental, vision, life, disability, retirement, flexible spending, and voluntary products
• Manages and processes all electronic benefit and 401k file feeds through the payroll process to ensure all information is processed timely and accurately
• Conducts regular audits of payroll records, employee information and overall reports to maintain integrity of all payroll and benefits data in accordance with HRIS system
• Drive continuous improvement, creating better work flow, eliminating errors and inefficiencies and standardizing processes as related to payroll and benefits
• Ensure compliance with company employment policies as well as Federal, State and Local rules and regulations as it relates to all payroll and benefits processes and programs.
• Serves as a contact and resource for vendors and third-party administrators, tracks vendor performance, ensures high quality service for plan participants
• Responds to employee inquiries and act as liaison between vendors and employees to intercede on employee’s behalf to resolve issues and address complaints
• Ensures compliance with all applicable federal and state regulations which affect employee pay and benefits including FLSA, FMLA, ADA, COBRA, ERISA, ACA and HIPPA
• Ensures regulatory compliance by completion of various reports: EEO1, VETS100, AAP, etc.
• Prepares and participates in audits including acting as a contact for auditors, establishing audit schedule, analyzing and preparing necessary reports and development and implementation of action plans to address audit findings

EDUCATION AND QUALIFICATIONS:

• Bachelor’s degree preferred Human Resources or Accounting and/or equivalent combination of education and experience with an emphasis in Human Resources/Benefits and Payroll
• Formal Payroll Certification (FPC) or Certified Payroll Professional (CPP), preferred

EXPERIENCE:

• 3-5 years’ of payroll management and benefit administration experience
• Multi-state payroll including federal and state payroll knowledge preferred
• Experience with one or more HR Payroll systems, experience with ADP preferred, including system implementations/upgrades

KNOWLEDGE, SKILLS AND INTERACTION:

• Comprehensive working knowledge of Payroll Functions, including: Payroll Administration/Taxes, Policies/Procedures, Payroll System Management and Legal Compliance including Federal/State Wage & Hour Laws, FMLA/Paid Family Leave, Health Care Reform Act, ERISA, Unemployment and Tax Laws
• Commitment to maintaining the highest level of confidentiality when dealing with personal information, compensation and benefit information
• Understanding of ERISA and all applicable requirements, regulations, and federal and state laws relating to employee benefit programs, qualified retirement plans and leaves of absence
• Strong working knowledge of a variety of benefit plans such as health, dental, vision, life, disability, retirement, flexible spending, health savings accounts and paid time off
• Strong written, project management and interpersonal communication skills as this role interfaces with members throughout the organization
• Ability to use good judgment and make sound decisions that demonstrate problem-solving skills, adaptability and responsiveness to change
• Ability to think critically and analytically
• Detail oriented and well organized with ability to handle multiple priorities simultaneously; ability to work efficiently in a fast-paced and rapidly changing environment
• Excellent time management and organizational skills
• Effectively resolve problems using independent judgement that is consistent with standards, practices, policies, procedures, regulation or law
• Knowledge of best practices and processing requirements relating to leave management
• Ability to properly handle confidential and sensitive information and material
• Advanced analysis and reporting skills preferred.
• Knowledge of benefit regulations and laws (e.g., ERISA, FMLA, HIPAA, ACA, COBRA, etc.)
• Detail oriented and well organized with ability to handle multiple priorities simultaneously; ability to work effectively in a fast paced environment
• Continuous improvement mindset essential
• Intermediate/Advanced experience using Excel preferred
• Demonstrated skills using Microsoft Office and other computer applications
